This is an opportunity for registered Indian organizations to show case their culture and sell regional cuisine.  JaxIndiaFest vendor committee reserves the right to approve/alter the menus provided by food vendors.

Only one electrical outlet [15Amp] will be provided along with a light per tent, additional outlets [15 Amp] may be rented at a cost of $25.00 each [Typical Skillet draws 15 Amp]. No power strips will be allowed to prevent overloads.

Additional tables will be available if requested with the application for a fee of $20/table.

Vendors will not be permitted to have any Henna or Mehndi services. Selling of any kind of alcoholic beverage, is prohibited.  ONLY HSNEF booth will sell water, soda and packaged juices. You are not allowed to sell these items.

 

 

Guidelines

Please read the following guidelines and check the appropriate check box to accept the guidelines to complete the application process.

Deadline to submit application is September 15th, 2010. Applications will be considered on a first come first serve basis. Submitting an application does not guarantee a spot. NO REFUNDS WILL BE MADE AFTER September 20th, 2010.
It is understood and agreed by anyone submitting an application that neither the JaxIndiaFest Vendors Committee nor anyone associated with the HSNEF or their sponsors, Metropolitan Park and the City of Jacksonville, shall be held liable for any physical and/or property damage or loss for the duration of this agreement. Application(s) will not be processed without full payment for designated space(s) and equipment(s).

VENDOR GUIDELINES
(Must be adhered to by all Participants)

  1. JaxIndiaFest reserves the right to remove any vendor from the festival site who does not comply with the established guidelines. The vendors will not be compensated for the occurrence of any such action.
  2. Under no circumstances any vendor (food & non food, arts & crafts) will serve any beverages, alcoholic or non alcoholic, including soda or water, bottled or non bottled.
  3. Vendors will be allowed to sell on Saturday, October 16, 2010 from 3:00pm to 11:00pm. Application should be filled out considering all your needs. Once submitted, we will not be able to accommodate any changes.
  4. Each individual vendor is responsible for collection, reporting and payment of the 7% Florida Sales tax for the sale of any items on the day of the event. Payments must be made to the Department of Revenue of Florida.
  5. Amplifiers or Speakers will not be permitted by any vendors.
  6. ONLY ITEMS listed on your application form and accepted for sale by the Vending Committee will be allowed to be sold.
  7. Setup on Saturday, October 16 will begin at 10:00am until 1:30pm. The festival gates will open at 3:00pm. Vendors must be in place by 11:00am to avoid unnecessary delays and/or confusion. NO VENDOR WILL BE ALLOWED IN THE PARK AREA AFTER 11:00AM. The Vending area must be cleared in the evening by 11:30pm on October 16. All Vendors must clear their respective areas and must provide their own plastic bags for garbage in their immediate surroundings. Vehicles will not be permitted after the initial setup time.
  8. Vendors must provide their own materials (Banner Not to exceed 6’ in width & decorations, etc.)
  9. JaxIndiaFest will provide ice at the venue for those vendors needing to purchase ice.
  10. The State of Florida Department of Health has informed us that each food vendor requires a temporary food service permit. Inspectors will be on the premises during the event to inspect your operation and issue permits. Forms are attached herein for your use.

Food Vendor Guidelines
GUIDELINES FOR FOOD VENDORS
(Must be adhered to by all Food Vendors)
  1. There shall be no consumption of alcoholic beverages or smoking by persons preparing, cooking or serving foods.
  2. Vendors who cook with grease type products are required, as a part of product preparation, to place heavy asphalt roof sheathing on the pavement and to place corrugated boxing paper on top as flooring for their booth, or a similar type protection on the parking lot, street or grass area to prevent grease from falling onto the asphalt, sidewalks, or grass.
  3. Food Vendors are required to use a grease trap. The vendor is responsible for the proper removal and disposal of all grease from the festival area. No grease or oil may be poured onto the pavement, grass or storm water drains within the City of Jacksonville.
  4. THE VENDOR WILL BE ACCOUNTABLE FOR ANY COSTS ASSOCIATED WITH THE CLEAN UP OF GREASE. All Food Vendors are required to provide roofing felt as flooring protection within allotted vendor space. ABSOLUTELY NO EXCEPTIONS!

  5. Cooking equipment, such as BBQ grills, deep fryers, etc., which require outdoor use, should stay out of the reach of children and away from pedestrian traffic areas.
  6. If running water is not available, provide enough water for cleaning and hand-washing purposes, in booths. Refrigerators and freezers must have accurate thermometers. All perishable foods must be refrigerated.
  7. Hair restraints must be worn and hands must be kept clean. Disposable gloves are also recommended. We strongly recommend that at least one person (who is not serving or preparing food), be designated to handle cash.
  8. All Food Vendors must have a fire extinguisher per cooking unit.
  9. All items must be stored off the floor and someone must be present at all times with food.
  10. Please have all food covered when not being accessed. Also, serving utensils (forks,spoons, etc.) shall be covered or properly stored when not in use. Vendors should guard against habits that seek to attract insects or other pests. Vendors will not be allowed to use pesticides/insecticides or pest strips, but flypaper is satisfactory.
